We are ever mindful that we live in unprecedented times. We strongly encourage individuals to assess their own health risks when attending public events and offer free KN95 masks upon request.

We may receive notice from performers, from time to time, that they require proof of vaccination or a negative test from a source other than a home test.   We will keep the public appraised of any of these requests.

The bylaws passed with 68.9% (82 votes) to 31.1% (37 votes). As noted on the ballot, abstentions are considered not voting at all and do not count towards the 2/3 requirement, though the measure would still pass if both abstentions voted no with 67.8% of the vote.
 
There were 125 ballots issued and 121 of them completed. Numerous outreaches were made right up to the end of the election to remind people to vote and assist them with voting. 3 people requested and were not issued ballots because their membership was not current before the end of the Annual General Membership Meeting. All of those individuals were asked to notify us if we felt this determination was an error and none did.

Assistant Membership Coordinator

We are growing our membership base and reaching out to new community members.  

Members are essential to keeping the WOW Hall going and we need assistance in retaining current members and recruiting new members

Job Requirements

Members Retention

  • Make calls to members to ensure renewals; a script will be provided
  • Take credit card info
  • Send out receipts
  • Update the database

Member Recruitment

  • Work collaboratively with our Membership Coordinator using strategies to attract new members.

Annual Membership Party

  • Help organize and support activities in making the Membership Party a success at the direction of the Membership Coordinator

Community Voices Coordinator

As CCPA continues to further our mission of being an inclusive, engaging, and vital community center with diverse offerings we are seeking an individual with deep connections to Eugene and surrounding communities.

We are seeking an individual who will engage in community outreach activities in coordination with the Executive Director to identify new and varied opportunities to enhance the WOW Hall’s role as a central gathering and educational place.

This new position develops and promotes cultural programming, and community engagement, and will co-create new activities with staff, volunteers and board members to further enliven what the WOW Hall brings to the community.

Responsibilities include:

Community Engagement and Partnership Building

  • Meet with the leadership of diverse community groups to strengthen our ties with them and determine appropriate programming and engagement for their community base.
  • Serve as an ambassador for the WOW Hall and assist in building a positive brand in the community

Research and development for potential new offerings

  • Research, collect and assimilate ideas and models for improvement of current offerings that align with CCPA’s mission
  • Collaborate with staff members to ensure effective planning of new offerings (Development Officer, Finance Officer, Volunteer Coordinator, Booking Manager)
  • Review and help prepare grant materials in support of new offerings including grant application narratives and grant reports as requested by CCPA’s Development Officer.

Implement and coordinate new community-based offerings and events

  • Implement evaluation methodologies to assess the quality and impact of education programming.
  • Generate and ensure timely and effective internal and external communications. Maintain accurate budget information, reports, and data related to education, outreach, and community engagement initiatives.

  • All employees are required to attend weekly staff meetings via Zoom and maintain ongoing communication with other staff members and the Executive Director.

Facilities Manager

Job Summary: The Facilities Manager is responsible for daily maintenance of the W.O.W. Hall building, equipment, and grounds and coordination of services with staff and vendors to ensure upkeep in accordance with historic preservation guidelines. This position reports to the Executive Director.  

Responsibilities include:

Facilities Maintenance

  • Perform minor maintenance activities, daily custodial, grounds-keeping, and inspect the building; check for cleanliness and provide additional cleaning as needed to ensure a clean, safe, sanitary environment.
  • Ensure that facilities maintenance and repairs are in compliance with historic preservation guidelines.
  • Ensure heating and cooling systems are consistent with manufacturers’ instructions.
  • Use janitorial checklists and complete all administrative tasks in a timely manner.
  • Operate within the facility’s maintenance and review expenditures with the Executive Director.

Training

  • Train an assistant on the proper usage and maintenance of custodial equipment and provide guidance as necessary.
  • Provide training to volunteer teams for periodic WOW Hall clean-ups in coordination with the Volunteer Coordinator Contractor/ Vendor Management.
  • Manage and monitor contractors and vendors to ensure work is being performed according to agreed-upon scopes of service and timelines and communicate with the Executive Director on any work order changes prior to proceeding.

Rental and Event Coordination

  • Coordinate with the Production Manager and House Manager on set-up for events and rentals, ensure the building is clean before/after an event or rental, and report any damage to the Executive Director.
  • Follow security procedures and work cooperatively with public safety officials; observe external activities for threats to public safety and the security of the W.O.W Hall.
  • Assists with response to custodial-related emergency situations as needed.

Expectations

  • All employees are required to attend weekly staff meetings via Zoom and maintain ongoing communication with other staff members and the Executive Director.

Publicist

The Community Center for the Performing Arts (WOW Hall) located in Eugene, Oregon is a nonprofit (501c3) arts organization dedicated to preserving and operating the historic Woodmen of the World (WOW) Hall as a multipurpose community arts center; providing cultural arts and educational opportunities for all ages and income levels; maintaining a supportive environment for local artists and their new creative efforts.
 
We are looking for a Publicist who will be responsible for the oversight of all event and organizational publicity and reports to the Executive Director.  We need someone with great social media skills, writing abilities, the ability to connect with our audiences and able to meet important deadlines to insure our shows and events are publicized.   This person will also be responsible for overseeing the production of NOTES, the WOW Hall newspaper and working closely with our graphic designer to ensure posters and graphics are delivered in a timely manner.

This is a key role for the WOW Hall for someone who loves music and is highly skilled in the use of the media.Here’s what you will be doing:

Increasing online presence

  • Keeping WOW Hall website current and improving the traffic to the website
  • Developing strategies to increase our online presence; make frequent posts to Facebook, Instagram, Tik Tok, help get the word out to the membership to post info about events
  • Uploading event info to Eugene Weekly and Register-Guard calendars
  • Sending email blasts to TicketWeb buyers

Maintaining Media Relations

  • Maintaining media list of press contacts
  • Creating press releases to promote artists
  • Coordinating with our Booking Manager to get the contact info on artists and press kits
  • Arranging for artist interviews with local radio stations, as requested by artists
  • Managing publicity and advertising in hard copy and digital formats
  • Managing advertising budget
  • Working with local radio stations to promote events and shows

Keeping our membership informed on WOW Hall Activities

  • Overseeing the production of the monthly WOW Hall Monthly newsletter call Notes
  • Sending weekly announcements to our members with sales info and ticket links
  • Working with the Membership Coordinator to obtain current membership mailing list for email blasts to our members on events

Maintaining Records

  • Maintaining electronic and hardcopy archives of posters, schedules, and press releases

 Other Responsibilities

  • Meet weekly with the Booking Manager and the Production Team
  • Attend weekly staff meetings
  •  Support the core values of the WOW Hall
  • Work with the Executive Director and in-house team to co-create new ideas and plans for publicity in the community.

Job Requirements

  • Familiarity with the publicity needs of a performing arts venue
  • Knowledge of the local and national music scene
  • An ability to maintain deadlines that promote events in a timely manner
  • An ability to work collaboratively with the team
  • Very adept in the use of social media; Instagram, Facebook posts and advertising, Website updates; Photoshop a plus Experience with WordPress is preferred however with tech competency WordPress can be learned
  • Ability to write promotional content and press releases
  • Ability to adapt to changes
  • A work history of dependability and professionalism
  • Able to be respectful and maintain professional behavior toward all staff, board members, volunteers, and patrons.
  • Desire to serve the community and be part of this historic performing arts venue.

This is primarily a remote position with up to 20 hours a week at $17.00 per hour.

CCPA COVID-19 policies and Information

The WOW Hall will be following Oregon State mandates beginning midnight March 11th, 2022.   We will no longer require proof of vaccination, or negative tests and masks are optional.  Individuals are expected to assess their own level of risk and may choose to wear a mask.The WOW Hall will provide free KN-95 masks for anyone wishing to wear one.  Some performers may request masking plus proof of vaccination or neg. test and we will respect their wishes.

The WOW Hall has installed a state-of-the-art air scrubber in our downstairs beer garden which continuously circulates air and destroys micro-particles in the ventilation system.  We chose this system because of its ability to clean the air and felt confident in installing it as it is the same one used on the space station, and in hospitals.
